Signs your business has outgrown its spreadsheets

Spreadsheets are one of the most useful business tools ever made. Almost every company runs part of its work on one. The problem starts when a spreadsheet quietly becomes the system that the business depends on, without anyone deciding that it should.

The warning signs

• Several copies exist and nobody is sure which one is current.
• People copy the same data from the spreadsheet into another system, or the other way round.
• One person understands it. When they are on holiday, the process slows down or stops.
• Formulas break when someone sorts a column or adds a row in the wrong place.
• Customers ask for updates that someone has to look up and send by email.
• You cannot tell who changed what, or when.

One or two of these are normal. If several sound familiar, the spreadsheet is costing more time than it saves.

What replacing it involves

Replacing a spreadsheet does not have to mean a large software project. Often the right answer is a small web application that does one job well:

• A form for entering data, with checks so mistakes are caught at the start.
• One shared database instead of many copies.
• Different access for different people, so staff only see and change what they should.
• A history of changes, so you know who did what and when.
• Connections to the systems you already use, so data stops being copied by hand.
• Reports and dashboards that update on their own.

Before you replace it

The spreadsheet already contains a lot of knowledge about how your business works. Before building anything, write down what each column means, who uses it, and which rules live in people’s heads rather than in the file. That list becomes the specification for the replacement, and it is useful even if you decide to keep the spreadsheet.

Build, buy or improve

There are three honest options. Improve the spreadsheet with better structure and permissions. Buy an off-the-shelf tool if one fits your process closely. Or build a small system shaped around the way you work. The right choice depends on how unusual your process is and how much it matters to the business.
